Using the Export Service message centre

Find out how to view and handle messages we send you.

Viewing messages

View business messages

Each business you work for has its own inbox. This is listed in the message centre's side navigation. Select a business to view its messages.

View your own messages

Messages sent directly to you are in 'My inbox'. This is listed in the message centre's side navigation. Select 'My inbox' to view your messages.

Messages marked as important

Messages with an exclamation mark (!) in the status column are ones we've marked as important. They contain key information or require action. Read these messages as soon as you can.

They may:

  • include deadlines
  • need a response
  • inform you of changes to the Export Service
  • contain actions you need to follow.

You can't change or remove the 'important' status.

Message handling

Flag or unflag a message

In the status column, the flag icon lets you mark a message so you can find it easily later.

You can select:

  • the flag to mark a message
  • 'show filters' to view flagged messages
  • the flag again to unmark a message.

Search for past messages

You can search for messages in 3 ways in an inbox:

  • Search bar: enter a name, keyword, subject, message title or application/licence number. Select your message(s) from the results.
  • Filters: select 'Show filters' to narrow your results by status (unread, flagged, important, sender or date range).
  • Browse page by page: select 'next' or 'previous' at the end of the inbox to search messages in the order they were sent.

You can only search the inbox you're currently viewing. You may need to switch inboxes and repeat your search.

You can see messages in your inbox that were received before you joined the team. Some messages are only visible to certain roles, so you won't see all of them.

Retrieve an archived message

Follow the steps if you archived a message by mistake:

  1. In the side navigation, select the inbox where you received the message.
  2. Select ‘Archive’.
  3. Find the message and select the checkbox next to it.
  4. Go to the end of the screen. Go to ‘Apply action’ and select ‘Move to inbox’.
  5. Look for the message in the inbox.

Replying to messages

Most messages are system-generated, so you can’t reply to them.

These messages include:

  • submission confirmations
  • reminders
  • status changes.

If a message needs a reply, it will say so and provide contact details. For example, a team may contact you directly about a matter you need to deal with.

Issues with messages

I can’t see business messages

If you can’t see messages for your business, check your Export Service role.

This is because:

  • not all roles have access to the business inbox
  • your role may give you access to some messages only.

To check or update your role, contact the principal authority or a manager for the business. We can’t update your role or permissions.

When you leave a business or are removed from its Export Service account, your access to its messages ends automatically.

A message won’t load

If a message doesn’t load, there may be a technical issue.

Try the following:

  • refresh the page
  • use a different browser or device to see if it’s a browser-specific problem
  • check your internet connection

If the issue continues, contact us so we can help resolve it.

I’m worried about spam or scam messages

Your inboxes are only for messages sent by the department. They do not have external email addresses and cannot receive spam messages.

Can others in the business see my messages?

My inbox

No. This inbox is private and only you can see these messages.

Business inbox

Yes. Anyone with access to the business account can view messages in its inbox.

These messages are:

  • for the business, not a person
  • shared across the team
  • about business updates or actions required.

Even in this shared inbox:

  • each person has their own copy of messages, so details such as whether the message has been read, archived or flagged are per user
  • some messages are restricted to roles such as manager and above.
